Our principal manufacturing facility in Plan-les-Ouates is complemented by a second manufacturing site in Le Brassus, (VD, Switzerland).

We believe our people are our greatest asset - the talent that drives us, the collective spirit of our teams and the community that is unique to our Maison. As such we are looking for a **General Services Administrative Specialist** to join us in our Geneva-based HQ team.

 

Reporting to the General Services Director, you will be a key pillar to support the department in its role and driving the Maison-s culture. Positive, dedicated and efficient, you feel at ease navigating in a fast-paced, creative and inspirational environment.  This is a particularly exciting time to join the Maison as we near our 270th anniversary.

 

 

**HOW WILL YOU MAKE AN IMPACT?**

 

* Managing a broad variety of administrative tasks such as filling, ordering supplies and other office management functions
* Monitoring and processing invoices (collection, verification, recording, transmission, etc.)
* Optimising invoice flows to facilitate invoice management
* Placing orders and handling related administrative tasks (archiving, follow-up, etc.)
* Entering and updating supplier prices and corresponding conditions in SAP, checking data, updating tracking files and prices
* Monitoring suppliers compliance, reminders and reporting
* Coordinate and prepare reports on CAPEX & OPEX with Finance department
* Execute and document Internal Controls and provide support during external and internal audits.

 

 

**WHAT WILL MAKE YOU SUCCESSFUL?**

 

* \+7 years of experience in a similar position, with a deep understanding of diverse cultures and environments. Experience in a fast-paced and/or high-growth environment is a plus
* Fast and quick thinker with good analytical skills and at ease to work cross functionally
* Excellent knowledge and experience using SAP, Microsoft Office applications, including Excel, and PowerPoint
* Highly developed communication skills, bilingual English and French, both verbal and written
* Excellent communication skills, both verbally and written, with the ability to communicate across all levels within the business as well as with external partners
* Ability to handle multiple responsibilities simultaneously on short notice
* Exceptional organizational skills and impeccable attention to detail
* Open, highly collaborative, flexible, proactive, and positive personality
