## About Our Client ##

Our client is an international organisation at the intersection of finance and innovation. The Strategy & Operations unit in Basel operates in a highly international, fast-paced and multidisciplinary environment, collaborating with colleagues and partners across Europe, Asia, and North America. For this role the client would like the candidate to be on side 80%.

## Job Description ##

* Coordinate and manage complex calendars across time zones, including scheduling meetings and appointments
* Draft, proofread, and manage internal and external communications
* Prepare and format documents, reports, and presentations to meet internal standards
* Organise international travel arrangements and prepare detailed itineraries
* Reconcile credit card statements, process reimbursements, and manage travel and financial documentation
* Provide back-up support for other senior assistants within the unit
* Maintain and structure both electronic and physical filing systems, ensuring easy retrieval and confidentiality
* Assist in strategic project coordination, including scheduling, documentation, and tracking deliverables
* Prepare agendas and meeting minutes and follow up on action items
* Support sprint meetings and contribute to ideation and prioritisation processes
* Help organise internal and external events and liaise with stakeholders for logistics and documentation
* Maintain stakeholder contact databases and assist with communication follow-ups
* Proactively identify and implement improvements in administrative and organisational processes





## The Successful Applicant ##

* Proven experience in a broad administrative or operational support function
* Experience working in a start-up or highly dynamic and evolving environment
* Comfortable engaging with stakeholders across different backgrounds and seniority levels
* Fluent English is required
* Strong proficiency in Microsoft Office 365 and Outlook
* Highly organised, detail-oriented, and able to multitask efficiently
* Strong interpersonal skills, collaborative mindset, and ability to work in a flat and multicultural team structure
* Acts with discretion, tact, and initiative
